Summary:

We are seeking a highly motivated and experienced Executive Assistant to provide comprehensive support to the CEO of our dynamic residential and commercial lending financial institution. The ideal candidate will possess a unique blend of skills, including expertise in data management, proficiency in Microsoft Office Suite and Adobe Creative Suite, and a strong understanding of SEO principles. In addition, the candidate must have intimate knowledge of real estate brokerage operations and be willing to obtain an NMLS license.

Responsibilities:

  1. Executive Support:Manage and maintain the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
  2. Prepare and organize materials for meetings, presentations, and conferences.
  3. Screen and direct phone calls, emails, and correspondence.
  4. Draft and edit correspondence, reports, and presentations.
  5. Manage and process expense reports.
  6. Project Management & Coordination:Assist in the coordination and execution of various projects and initiatives.
  7. Track deadlines, monitor progress, and provide updates to the CEO.
  8. Collaborate with internal staff and external partners to ensure seamless workflow.
  9. Client & Partner Engagement:Serve as a liaison between the CEO and clients, partners, and other stakeholders.
  10. Build and maintain strong relationships with key contacts.
  11. Assist in client onboarding and engagement activities.
  12. Data Management & Analysis:Maintain and update databases and CRM systems.
  13. Analyze data to identify trends and insights.
  14. Generate reports and presentations to support decision-making.
  15. Marketing & Communications:Assist in the development and implementation of marketing and communication strategies.
  16. Manage the CEO's social media presence.
  17. Create and distribute marketing materials.
  18. Optimize website content for search engines (SEO).
  19. Other duties as assigned:Provide backup support to other administrative staff as needed.
  20. Assist in event planning and execution.
  21. Represent the CEO in various settings as required.

Qualifications:

  1. Bachelor's degree in Business Administration, Real Estate, or a related field.
  2. Minimum of 5 years of experience as an Executive Assistant or a similar role.
  3. Proven expertise in data management and analysis.
  4. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Creative Suite (Acrobat, Photoshop, InDesign).
  5. Strong understanding of SEO principles and best practices.
  6. Intimate knowledge of real estate brokerage operations.
  7. Excellent written and verbal communication skills.
  8. Strong organizational and time management skills.
  9. Ability to work independently and as part of a team. 

  10. Ability to maintain confidentiality and handle sensitive information. 

  11. Willingness to obtain an NMLS license, including passing a background and credit check, and meeting all other legal requirements.
