Summary:
We are seeking a highly motivated and experienced Executive Assistant to provide comprehensive support to the CEO of our dynamic residential and commercial lending financial institution. The ideal candidate will possess a unique blend of skills, including expertise in data management, proficiency in Microsoft Office Suite and Adobe Creative Suite, and a strong understanding of SEO principles. In addition, the candidate must have intimate knowledge of real estate brokerage operations and be willing to obtain an NMLS license.
Responsibilities:
- Executive Support:Manage and maintain the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and conferences.
- Screen and direct phone calls, emails, and correspondence.
- Draft and edit correspondence, reports, and presentations.
- Manage and process expense reports.
- Project Management & Coordination:Assist in the coordination and execution of various projects and initiatives.
- Track deadlines, monitor progress, and provide updates to the CEO.
- Collaborate with internal staff and external partners to ensure seamless workflow.
- Client & Partner Engagement:Serve as a liaison between the CEO and clients, partners, and other stakeholders.
- Build and maintain strong relationships with key contacts.
- Assist in client onboarding and engagement activities.
- Data Management & Analysis:Maintain and update databases and CRM systems.
- Analyze data to identify trends and insights.
- Generate reports and presentations to support decision-making.
- Marketing & Communications:Assist in the development and implementation of marketing and communication strategies.
- Manage the CEO's social media presence.
- Create and distribute marketing materials.
- Optimize website content for search engines (SEO).
- Other duties as assigned:Provide backup support to other administrative staff as needed.
- Assist in event planning and execution.
- Represent the CEO in various settings as required.
Qualifications:
- Bachelor's degree in Business Administration, Real Estate, or a related field.
- Minimum of 5 years of experience as an Executive Assistant or a similar role.
- Proven expertise in data management and analysis.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Creative Suite (Acrobat, Photoshop, InDesign).
- Strong understanding of SEO principles and best practices.
- Intimate knowledge of real estate brokerage operations.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information.
- Willingness to obtain an NMLS license, including passing a background and credit check, and meeting all other legal requirements.
